Middle School Division Coordinator

Lowell School, a progressive school of approximately 330 students in NW Washington, DC, seeks a full-time, 12-month Division Coordinator to support the Middle School Division Director. The Division Coordinator is an integral member of the staff at Lowell and provides administrative and clerical support. The ideal candidate is self-motivated with strong organizational, personal, and collaborative skills, as well as flexibility, a community spirit, and a sense of humor. 

Responsibilities                       

  • Organizes catering, set-up, take-down, and coordination between staff and facilities for internal and external events throughout the school year.   
  • Coordinates professional development, liaising with teachers, organizing paperwork, and following up with faculty on timelines. 
  • Works with the Assistant Director of Primary School and the Pre-Primary and Primary School Directors to communicate the parent-teacher conference schedule. The coordinator establishes the parent sign-up schedule and communicates the schedule with the faculty. 
  • Tracks and maintains an ongoing budget spreadsheet for purchases, supplies, and budget line items.    
  • Maintains and processes all paperwork and follow-up for the exit admissions process. 
  • Purchases, tracks, and organizes all supplies.
  • Manages schedule of all guest teachers, teacher coverage, and teacher absences as needed. Maintains guest teacher timesheets and submits them to the business office as scheduled.
  • Coordinates all transportation for field trips using the Lowell School bus or a vendor bus and coordinates the paperwork for all field trip approvals through the Division 
Director. Follows up on field trip contracts and invoice payments.    

Required Qualifications
  • Excellent skills in technology and in maintaining a database; experience with Mac platforms and software such as the Google Suite.
  • Demonstrates professionalism and strong interpersonal skills working with administration, colleagues, families, and adolescent children.
  • Ability to manage and complete various tasks and projects with speed and accuracy. 
  • Extremely dedicated, organized, and team-oriented.
  • Outstanding customer service and communication skills.
